Aptora Mobile – Security
Access and management for user security is very simple and accessible from within the Aptora Mobile software from any device. Any user given permissions to do so can access the security portion of Aptora Mobile and the various related features, such as Change Password and the Audit Trail.
From the Dashboard, click More | Security.
User Permissions determines what a Mobile-enabled user is and is not allowed to do or see. The permissions list contains a full list of forms and features accessible from within Aptora Mobile and permissions related to each form. In general, users can either “View” or “Edit” information in Aptora Mobile.
We have taken Aptora Mobile’s ease of use a step further and also included several permission “templates” for use. This includes a Sales Template, Service Technician Template, and Administration Template, among others. These templates are pre-configured to allow your Aptora Mobile administrators to easily assign permissions to users based on their position. For example, the Service Technician Template would give the field technician all the permissions he needs to access his or her Work Orders, Appointments, or Reminders but not allow access to any Financial Reports.
While it is possible to give any user permissions to access and edit other user’s permissions, it is highly recommended that such permissions not be given to all users.
This form allows the logged in user to change his or her password.
Similar to the Audit Trail found within Total Office Manager, the Audit Trail within Aptora Mobile allows the user to see any and all activity within Total Office Manager including the date, time, and the form accessed, the action taken, and even the user.
Enabling Users to Access Aptora Mobile
In order for a user to use Aptora Mobile, the following must be in place:
The user must be entered into Total Office Manager as an Employee*
The user must be given permission to access Aptora Mobile
*While a user must be entered as a Total Office Manager employee, it is not necessary for Payroll to be configured for the employee.

To allow an employee access to Aptora Mobile the administrator simply needs to log into Aptora Mobile take the following steps:
From the Dashboard, click “More”
Click “User Permissions”
Select the user to Edit
For the permission item labeled “Login”. Click the “View” checkbox to enable access.
