Database Update
This update requires an update to your database. This will require that all users log out of the software program so that the update can run. Once the update has run and the first user logs in, other users will be able to log back into the program in prior versions without being required to update. This update will take anywhere from 15 seconds to 5 minutes depending on the database size.
Enhancements/Modifications
The following contains feature requests submitted by users like you:
- Form W-4 (2026): We added the required fields to make it easy to enter the new data on the 2026 Form W-4.
- Social Security Number Privacy: We now hide the encrypted Social Security Number (SSN) until the user ticks a checkbox to view it for adding or editing. A label has been added that always shows the last four characters of that employee’s SSN.
- Payroll Tax Item Form Help Link: We added an F1 Help Topic link to the Payroll Tax Item form. The topic existed, but the link was missing.
- Payroll Tax Item Form Message: We made the message box related to a duplicate ID clearer. It refers to a duplicated Tax Name — you may not duplicate the Tax Name field.
- Customer Credit Card Security: The full credit card number is never shown — only the last four digits are ever displayed. Tick the new “Edit CC Number” box to edit the number as usual. The number is saved and the box is unchecked when the record is saved or closed. Once the record is saved, the credit card number can no longer be viewed.
- Invoice Family of Forms: The Invoice Number and Memo fields no longer switch to Overwrite mode. They now stay in Insert mode, so text you type is inserted rather than overwriting existing text.
- Status Bar: We added a new label near the middle of the status bar (at the bottom of the main form) that displays information about the communication between Total Office Manager and the Schedule Board, helping you see when events are being initiated between the two programs.
- Clone Last Item on PO: A new “Clone Last Item” option under the Menu button copies the last item (last row) to the next line, adding the exact same item to the item grid.
- Improved Information Center Performance: We increased the speed required to check for, fetch, and process the data this form displays, and improved error handling.
- Invoice Items List — Group Items: We now show Avg. Cost and Est. Cost for Group items. These totals are rounded to two decimal places.
- Sales Rep from Work Order “Assigned To”: In the Sales, Invoices & Estimates preferences (Company Preferences tab), we added a checkbox to use the Work Order’s “Assigned To” to populate the Sales Rep field on the Invoice form. This option overrides copying the Sales Rep from the Customer:Job form. Use case: this can be used when you wish to pay the technician assigned to the work order a commission — such as Flat Rate Book Time or others in the Sales Commission List. Combined with one other preference, the technician will automatically appear in the Assign Commissions form.
- Sales Commission Method Precision: The Value may now include four digits to the right of the decimal point (for example, 3.3333) for the added precision certain workflows require. Tip: this can be used as a multiplier to change how the value is normally applied — 0 or 1 makes no change, 2.0 doubles it, and .5 cuts it by 50%. Use case: you may want to pay someone for book time by multiplying their regular wage but be unable to hit an exact amount due to rounding; the added precision resolves this.
Bug Fixes
- Marital Status Freezing: We fixed a rare bug that caused the app to freeze when marital status was not set and Certified Payroll was activated. Employees with no marital status set will now save without issue.
- Customer Job Status Not Saving: The customer job status on the Job Info tab was not being retained on save. This is now fixed.
- Multi-Day Work Order Status: We corrected how multi-day Work Order status is determined. A parent Work Order now correctly shows In-Progress while any active day remains incomplete, Completed only when all active days are complete, and Canceled when all days are canceled. Completing or canceling a parent no longer changes already completed or canceled day records, and if you answer “No” when asked to complete a multi-day parent, it now correctly remains In-Progress in the list.
- Invoice Items List — Column Label: We changed the label “Last Revised” to “Date Last Revised” in columns, Quick Filter, User Filter, and elsewhere to better reflect what it is.
- Invoice Items List — Sorting: We fixed an issue where the Date Last Revised and Date Created columns were not sorting logically.
- Auto Recall on Save & New: The Auto Recall option was being skipped when the vendor was not changed after using Save & New. This is now fixed.
